People · Travel · Hours · Billing

The back office for a small company whose people are on the road.

Crew keeps track of who is where, what each trip may cost, the hours every week, and the invoice at the end of the period. Receipts become expense reports. Timesheets become invoices. Nothing is retyped.

Three things, kept together.

Most tools do one of these. The work only gets easier when the same record carries a person from assignment to invoice.

People

Everyone who works for you, W-2 or 1099, with rates, assignments, documents and the person who approves their work.

  • Invite by email; profiles fill themselves in
  • Bill rate and pay rate with effective dates
  • Expiring and missing paperwork flagged

Travel

A trip from assignment to reimbursement. Per diem from the GSA tables, the car and hotel checked against policy, receipts read from a photo.

  • Bookings pulled from the traveler's own inbox
  • Travel request and signed expense report built, not typed
  • Approvals routed with the paperwork attached

Hours and billing

Hours by day, weeks submitted and approved, matched against what the client recorded, rolled into the client's own periods.

  • Invoices as PDF from approved hours at bill rate
  • Payroll export at pay rate plus reimbursements
  • Calendar feed of trips, deadlines and payments

A trip, start to finish.

Every trip walks the same seven stages. The traveler sees what is next; the manager sees what is waiting on them.

1
PlanDates, site, legs, family travelling. Shorter than approved is flagged; longer splits out personal days.
2
ApproveThe manager gets an email with a link. One click, recorded.
3
BookConfirmations land from the traveler's inbox. Cancellations too.
4
RequestThe client's travel request form, filled from the plan.
5
TravelReceipts in by photo. Personal costs split out automatically.
6
ReportSigned expense report, receipts appended, revisions tracked.
7
PaidReimbursement recorded. The trip closes.
Hours

Weeks that match what the client recorded.

Hours go in by day. The week is submitted, approved, and checked against the client's confirmation. Hours over the day's limit go into a bank and come back out on a short day, so the report is always whole.

Weeks end on the client's day, deadlines follow the client's clock, and periods are the client's periods. For a federal prime that is Saturday to Friday, noon Eastern, 4 and 5 week months.

Billing

Approved hours become the invoice.

At the end of the period, every approved week times each person's bill rate is the invoice, as a PDF, numbered, with a status that moves from draft to sent to paid. The same hours at pay rate, plus reimbursements, are the payroll file.

The number on the invoice is the number in the system. There is no other copy to disagree with it.

Pricing

One price. Seats follow your people.

People marked active count as seats. Invited, on leave and offboarded people do not, so a quiet month costs less. A one-person company pays ten dollars.

Questions.

Who is it for?
Any small services company that bills clients by the hour and sends people to a site: consultancies, field service, training and installation crews, subcontractors working for a prime. One person or forty.
Where does the per diem come from?
From the GSA tables for the destination and the dates, fetched and cached per trip. First and last travel days are prorated the way federal travel rules do it, and lodging is checked against the cap night by night.
Do my people have to type their bookings in?
No. Each person connects their own mailbox once. Confirmations from the airline, hotel and rental company are read and placed on the right trip; a cancellation takes the booking off again.
Can a client's travel forms be used?
Yes. The first policy preset follows a federal prime's rules and forms. Week end, deadlines, reporting periods, bag fees and car rules are settings, so another client's policy is a few changes, not a rebuild.
Where is my data?
On servers Hatcher Angulo runs, with each company's rows isolated at the database level, nightly backups that are test-restored every night, and encrypted mailbox credentials. Ask for the security summary.
What happens after the trial?
Your data stays readable. Pick the plan to keep making changes. Cancel from the billing page at any time.

Crew was built to run a real contracting company first and sold second. Every rule in it exists because a voucher came back once.
